Privacy Policy

Last updated October 6, 2025

Thank you for using Docstron. This Privacy Policy explains what information we collect, how we use it, when we share it, and the choices you have. By using Docstron's website, API, or dashboard (collectively, the "Services"), you agree to the terms described here.

Who controls my personal information?

Docstron is the data controller for the personal information you provide via the Services. If you have questions about this policy or about how we handle your information, contact us at support@docstron.com.

What information do we collect?

We collect only the information necessary to deliver and improve our Services. This may include:

  • Account & contact info: name, email, organization, billing details you provide when signing up.
  • Payment details: billing and payment processing are handled by our third-party payment provider. Docstron does not store full card numbers on our servers.
  • Usage & technical data: API request logs, timestamps, IP addresses, browser and device data, errors, and performance metrics to help operate and debug the Services.
  • Content you send to the API: files, HTML, templates, or other document data used to generate PDFs. You remain responsible for content you submit; see the Data Retention section below.
  • Third-party data: information we receive through integrations, analytics providers, or partners (for example, basic identity or payment tokens).

Cookies and similar technologies

We and our providers use cookies, local storage, and web beacons for authentication, analytics, performance, and improving your experience. You can manage cookie preferences through your browser and any cookie controls we provide in the dashboard.

How we use your information

We use collected information to:

  • Provide, operate, and maintain the API and dashboard.
  • Authenticate users and secure accounts and API access.
  • Process billing and subscription management.
  • Diagnose issues, monitor performance, and improve the product.
  • Communicate important account and product updates (billing, security, policy changes).
  • Detect, prevent, and respond to fraud, abuse, or security incidents.

Do we share your information?

We do not sell personal data. We may share limited information when necessary to:

  • Provide Services — with payment processors, hosting and storage providers, and other vendors who process data on our behalf.
  • Comply with legal obligations — to respond to lawful requests, subpoenas, or to protect rights and safety.
  • Business transactions — in the event of a merger, acquisition, or sale of assets, user data may be transferred as part of that transaction (with notice when required).

Security

We take reasonable technical and organizational measures to protect your information, including encryption in transit (HTTPS/TLS), access controls, and secure infrastructure. While we strive to protect data, no system is 100% secure; if a security incident affecting personal data occurs we will act promptly and notify affected users as required by law.

Data retention & content

Documents, files, and other content you send to the API are retained only as long as needed to fulfill the request and for a limited retention period (for example, short-term caching, logging, troubleshooting, or as required for billing). You can request deletion of your account and associated data by contacting support@docstron.com.

Your rights & choices

Depending on where you live, you may have rights such as accessing, correcting, or deleting your personal information, and opting out of some data uses. To exercise these rights, contact support@docstron.com. We may ask you to verify your identity before taking action.

Children

Our Services are not directed to children under 13 and we do not knowingly collect personal information from children. If we learn we have collected such information, we will delete it.

Do Not Track

Some browsers offer Do Not Track (DNT) signals; currently Docstron does not respond to DNT signals.

Third-party links and services

Our Services may contain links to third-party websites and incorporate tools from third parties (analytics, payment processors, CDNs). Those third parties have their own privacy practices; we are not responsible for their policies or actions.

Changes to this policy

We may update this Privacy Policy from time to time. We'll post any changes on this page and, for material changes, we may provide more prominent notice (for example, email to account holders). The updated policy will include an updated effective date.
